GLISA Officer Meeting #5 Minutes: December 4, 2016

Dr. Jeng:
Dr. Jeng is very happy to see officers working hard to get participation and support going. It takes a lot of energy and determination to take the lead. Even when you see something difficult, don’t get discouraged. Group work is always a little difficult but you can always effectively work on something even without 100% participation.
Dr. Jeng was great to eliminate the membership fees. It was a hassle for students that would deter them from joining in the past. Students need to be aware that to become an ALA/TLA member, take advantage of the joint student membership for $38. Dr. Jeng loves that we require students to be an ALA member.
Katrina updated Dr. Jeng on membership, communication with ALA student chapters (pertaining to dues), how to become a member (student needs to be an ALA member), how it is tracked (google form).
Paypal issues: account established in Dr. Jeng’s name several years ago without her approval. The Wells Fargo account has her name on it which may have been why they started using her name on Paypal. Officers wanted to verify but Paypal hasn’t been used in a while and verifying the email was difficult. Dr. Jeng does not have access to the Paypal in any capacity. At this point Dr. Jeng was concerned about it since it is on her credit. She wants the Paypal account taken off her name and closed. In the past there was an account created but information was lost on how to get in the account. To deal with that they opened the Wells Fargo and during the year the Treasurer would go to the bank with Dr. Jeng to add them to the account as a signer. Currently, Dr. Jeng is the only person available to write the checks since our current Treasurer is not local.
Dr. Jeng’s goal: to ensure that GLISA is able to get access to the money.
Debbie and Katrina has been working to see the funds in the Paypal and how to transfer the money to a separate account to use for scholarship opportunities later.
It should be possible to transfer the funds from the Paypal account to the Wells Fargo account.
Dr. Masten suggested getting the current Treasurer set up through the online bank account. Every year we need to make it a process to change the signature on the account. There should be a way get a signature done from a distance.
Katrina and Debbie are going to look more into doing everything virtually. Dr. Jeng says they may have to do phone calls first. Dr. Masten has all of the account information for Wells Fargo. When the time comes the information can be given to the GLISA officers. Dr. Jeng just needs to know what to tell Wells Fargo when she calls.
The school is going through accreditation review at the moment. 7 years ago this was done and TWU was given a great review. Dr. Jeng just submitted the accreditation self study draft report on Friday. The final report is due in February. In the past they have invited some students, alumni, adjuncts, and professors to help out with the report. There is a good chance they may be asking GLISA for some names to use them for the report review. There will be a team of 5 members (external) who will come to campus to verify that all of the information provided in the report is true. They will look at a lot of different things and talk to students. Dr. Jeng will be contacting GLISA to possibly schedule a time or have a list of student names to talk to the accreditation team. Students, alumni, and others are all needed. The chair of the external review panel and Dr. Jeng are going to be talking soon so she’ll have more information on that later. They will be at TWU April 3rd to the 5th. They’ll also be in some of the classrooms to observe the classes. If students are taking classes in the spring and they see some random person, that is who it will be. Don’t be surprised to see someone. They won’t bother anyone, they just want to see what’s going on.
Dr. Jeng’s goal: get through the accreditation process well.
Dr. Jeng wants to offer GLISA the opportunity:
Last spring Dr. Jeng did a webinar with students. Before the meeting the GLISA president got a list of questions from the students. Dr. Jeng gave info on new things going on and then took questions.
Wants to offer this every semester and would love for GLISA to sponsor.
Dr. Jeng is on board with joining GLISA’s webinar series.
Dr. Jeng wants GLISA to consider having a webinar to talk about TLA. She’s currently the president elect right now. In April she will be taking over as President. She loves it; it has been a wonderful experience. It’s a lot of work but worth it. She has a long list of tasks every month to keep up with it all. Dr. Jeng is selecting the Bluebonnet list committee. The conference in 2018 is already being planned. There are so many things that she wants to share with students.
GLISA will support Dr. Jeng with providing information to students and such.
Dr. Masten:
Katrina was nominated through a process for the Student to Staff Scholarship.
Katrina offered to grab information or things from different areas to send to officers.
Dr. Jeng suggests that she try to get information from as many areas as possible. Focus on what you want to learn and be sure to pick out panels. At least take a chance to go look at the exhibits.

Webinar:
GLISA hopes to do it before the TLA conference. Dr. Jeng states that she will make time to be part of our webinar series.
Dr. Jeng suggests that GLISA holds the webinar sometime in February.
TWU career center will be speaking during our webinar: tips on how to get a job after graduation, advocating for yourself in the professional world, etc.
Katrina hopes to get the ALA president onboard for the webinar.
Dr. Jeng says that the ALA president loves to do things and share information. She’s one of the strongest advocates for our profession. Julie has passion and vision for the profession. Dr. Jeng suggests we go ahead and ask.
We need to look at how we present ourselves to those that may not agree with us. How to present ourselves to encourage cooperation. Julie does this very well.
Katrina wants to draft an email from everyone at GLISA to send to Julie.
Dr. Jeng suggested Katrina do a webinar after going to ALA with the student to staff program.
Forum:
Aleya introduced the forum to Dr. Jeng and Dr. Masten. We’ve created a space where we can go to discuss with our fellow professionals. Dr. Jeng loved the idea.
Blog:
Ivan introduced the blog/website. He still has work to do on it. Our last blog was great but we’ve agreed that wordpress is a better platform. It’s still in progress but it is open for people to view and provide feedback.
Also on the blog is a calendar and events section. This will be a nice landing spot for people to find information on lots of great things.
TLA:
TWU has a student travel fund for TLA available. Dr. Jeng is looking for student interns who are willing to serve on committees (2017-2018). Interns will attend meetings and go to the conferences. This is the right time to look at the TLA scholarships. There are travel and stipend funds. In the past they didn’t have enough people applying. If you don’t apply, the money won’t be used.

Newsletter:
Typically GLISA puts one out at the beginning of Fall, we’re doing it at the end of the semester due to the issues.
All officers are writing articles to be put in the newsletter.
Create the newsletter in PDF format then paste it into mailchimp.
Include a link to the PDF.
Marketing:
Katrina asked Dr. Jeng for her opinion on the best way to market GLISA:
Dr. Jeng: The newsletter is important. Make sure it is sent to Cassandra. When things are sent to the listserve (or any email list). Make sure all the information is not in the graphic. Make sure there is also text so those with computer issues can read the information. Assume people don’t have high powered computers or internet connection. Keep sending info to all students, whether they’re members or not.
Set up a mailchimp account to send out emails to the members. We can even insert how they got to be on the list in the description.
If we have to change our treasurer to someone local, we could create a member coordinator position to allow for Debbie to maintain a position.

To-Do List:
Katrina and Debbie: build a plan for what to do about the bank information. Will contact Dr. Jeng with updates for a phone call to contact Wells Fargo.

Complete Newsletter articles.

Create an email list: a listserve for GLISA and transfer to the mailchimp account.
During the break all officers should be posting on the forum to help generate content.
